Editing Attendees

1.Find the event to which the Attendee is attached in the Event Maintenance screen.
2.Click on the Attendees tab and the View Attendees tab.
3.Find the appropriate Attendee by using any of the methods described above in Finding Attendees.
4.Bring up the Attendee in the Single-View sub-tabs, or click to highlight the Attendee in the List-View sub-tabs.
5.Click the Edit button to the upper right.  The Event Attendee [Edit] window will appear.
a.Note that when a screen is divided into two or more sections, there will be more than one Edit button.
b.Ensure that you use the correct Edit button in the same section of the screen within which you are working.
6.Make your changes to the Attendee information. IMPORTANT: If you change the status of an Attendee to a “Cancelled” type, EventPro will delete the registration information for the Attendee.  The guests of the Attendee will also be set to “Cancelled” and their registration details will be deleted.
7.Click Save, or click Save & Update Contact if the Attendee is also a Contact and you want to save your changes in the Company/Contact database.

If you need to make changes to several attendees (e.g. changing Status or Type), you do not have to individually edit each one.  You can use the Multi-Edit function to apply changes to all or multiple attendees.

Functions for working with multiple attendees are found under the List-View sub-tabs, i.e. All and the sub-tabs generated by the Attendee Types assigned to the event (located to the right of the All sub-tab).

1.Find the event to which the Attendees are attached and open the event in the Event Maintenance screen.
2.Click on the Attendees tab, the View Attendees tab and then the List-View sub-tab containing the list of attendees you want to edit.
a.You can edit selected attendees or all of the attendees you see in the selection grid.
b.You can also limit the number of attendees you see in the selection grid by setting a filter (see Filtering Attendees below).
3.Click the Detail Options button to the right and select Multi-Edit.  The Event Attendee Multi-Edit window will appear.
a.Note that if you multi-select attendees and just click the normal Edit button, you will only apply your changes to the last-selected record.
b.Make sure you use Detail Options | Multi-Edit.
4.Make your changes, but be careful not to change any distinctive fields, as these changes will overwrite the original values for all of the selected attendees. IMPORTANT: If you change the status of an Attendee to a “Cancelled” type, EventPro will delete the registration information for the Attendee.  The guests of the Attendee will also be set to “Cancelled” and their registration details will be deleted.
5.Click Save.
6.The Attendee Multi-Edit dialog box will appear.
a.Choose whether you want to apply the changes to Selected Attendees or All (Filtered) Attendees and click OK.
b.“All (Filtered)” refers to all of the attendees visible in the selection grid.  Therefore, if you set a filter so that only fifty of one hundred attendees are visible, those fifty represent “All” for the purpose of multi-editing.

7.If any of the Attendees are also Contacts, the Confirm dialog box will appear, asking if you want to update the linked Company Contacts.  Select Yes if you want to apply the changes to the Company/Contact database.
