Set Lock Levels

Lock levels define an event’s state of completion. You can use lock levels to prevent an event from being tampered with by users unauthorized to make changes.

Only certain users have access to set or change lock levels.  Return to the instructions at Chapter 1: Setting Up EventPro, Step 10: User Rights to review how these user rights are set.

1.In the Event Maintenance screen, find the relevant event.
2.Click the Event Options button in the upper right corner and select Lock Level.

3.In the Set Event Lock Level dialog, select the appropriate lock level:
a.Open: The event has just been booked and details have not been confirmed. The event is still open to be worked on.
b.Locked: The event is closed to all staff members except those with the user rights to unlock it. The Locked level is used as a short-term way to prevent other users from modifying an event.
c.Finalized: The event has been approved by the client. Catering, setup, staffing and attendance have been confirmed. All contracts and deposits have been received.
d.Completed: The event has taken place and you have started to finalize the charges.
e.Closed: The event has been invoiced and paid for, and is closed financially. If you want the event to be locked and archived for long-term, you set the lock level as Closed.  A Warning dialog will appear if you attempt to close an event with an outstanding balance.
4.Click OK. The Event Maintenance screen will refresh to show your selection in the Lock Level field in the upper right corner of the screen.
