Assign Users to the Event

For each event, you may want to assign certain users to be responsible for coordinating the different elements of an event.   For example, you may want to assign one user to be the general event coordinator.  If it is helpful for your facility, you can also create more specific event-management roles such as “Catering Manager” and “Tech Manager”.

You may have already assigned users to an event while in the New Booking wizard, or while editing the event in the Event Maintenance screen.

If you have not yet assigned users to the event or want to change the assigned users, follow the instructions below.

1.In the Event Maintenance screen, find the event to which you want to assign users.
2.Click the Event Options button in the upper right corner and select Assign.
3.The Assign to dialog appears.  Select a user from the User List and click OK.

1.To assign the event coordinator in another way, and to assign more specific roles to users, click on the Event tab and click the Edit Event button.

2.The Event [Edit] window opens.
3.Under Responsibilities, use the drop-down list in the Assigned To field to select the assigned user.
4.If you created specific event roles in your System Settings (Chapter 1: Setting Up EventPro, Step 1: System Settings: Events), use the drop-down list beside each field to assign the appropriate user to each role.

5.Click Save.  The assigned users will appear under the Event tab in the Event Maintenance screen.
