Creating a New Repetitive Booking

1.Click the Booking Calendar button located in the upper left portion of the EventPro Screen. The Booking Calendar will display the default view you chose when setting your Preferences above.
2.Make sure the date and location group settings are correct at the top of the screen. Make any necessary changes.
3.There is no need to select cells on the Booking Calendar when you are creating a Repetitive booking, as you will choose the locations and dates later.  Simply select Event | New – Repetitive from the Button bar in the Booking Calendar, or right-click on any cell and select New – Repetitive.
4.The New Booking window appears, as with a regular booking, but it will have a different appearance this time.  Rather than asking for company and contact information first, this New Booking wizard will begin by asking for locations and booking patterns.

5.Locations: Select the appropriate location group from the drop-down list and check the boxes to choose the desired locations.
6.Repeats: Decide how you want this event to repeat, and select the appropriate option from the first drop-down list.
a.Daily: If you select Daily, choose an option from the next drop-down list, between Every day and Every 31st day.
b.Weekly: If you select Weekly, choose an option from the next drop-down list, between Every and Every eighth.   Check the box next to the appropriate day(s) of the week.
c.Monthly: You can choose from two different options – Monthly (Dates) or Monthly (Days).  The second drop-down box is the same for both options.  Choose an option between Every month on the to Every twelfth month on the.  Check the desired day(s) or dates (s) for Monthly (Dates) or Monthly (Days).
d.Custom: If you select Custom, you can create your own set of dates.  From the drop-down calendar under Custom Dates, select a date and click Add. Continue this process to add as many dates as you want.  If you change your mind and want to remove a date you added, click to highlight the date in the list and click the Remove button, or unselect the checkbox in front of that date.
7.Duration: Choose a Starting Date from the drop-down calendar.  Either select the Until dot and choose an end date from the drop-down calendar, or select the For dot and choose how many days, weeks, months or years you want the event to repeat.  Note that you cannot set duration for a Custom pattern.
8.At Weekends: If there is a possibility that your booking pattern will put a booking on a weekend when you have not specified that it should be on a weekend, you can use this drop-down list to choose how you want to deal with the booking.  You can choose to leave the event on the weekend, move the event to the nearest Friday, Monday or weekday, or delete the booking.
9.Split Booking by: If you create a large repetitive event that spans over several locations, days, weeks, months or even years, you may want to split the event into multiple bookings.
a.Breaking down this type of event into smaller portions will make it easier for you to manage the event.  A very large event will slow down the program by displaying large amounts of information on one screen and performing multiple conflict checks that may not be necessary at the time.
b.If you want to split the booking, select an option from the Split Booking by drop-down list.  The event will not actually be split into separate bookings until you click Finish at the end of the New Booking wizard.
10.You will see your booking pattern summarized under Your Selection. When you have completed your location and booking pattern to your satisfaction, click Next in the bottom right corner.
11.The wizard moves on to the Company/Contact Information screen, which is the same screen you encounter in a normal booking.
12.The rest of the process for the repetitive booking will be the same as a normal booking. To complete the booking, review the instructions above, starting at Company/Contact Information.
