Action Reminders

To ensure that you and other staff members never miss a deadline, you can adjust your settings so that the appropriate users are reminded of Actions with pop-up notification windows.

1.To create an Action Reminder, check the Reminder checkbox and, from the drop-down list, choose when you want the Reminder sent (e.g. 5 Minutes, 1 Hour, 2 Days, etc.).  The Date/Time to the right will automatically fill in, unless you choose Custom.  If you choose Custom, enter the Date and Time at which the user should receive the reminder.For example, if you check the Reminder checkbox and select 1 Day, the user will receive a reminder one day before the Action is due.  If you choose 0 Minutes, the User will receive a reminder at the moment the Action is due.  The reminder will be directed to the User or User Group selected from the Assignment drop-down list.

2.To ensure that the User can receive the pop-up notification, and to set the interval at which a User’s Action Reminders are checked, return to Setup | Users and double click on the User record in the selection grid.  Under the Personal Information tab, enter the number of minutes for an Action Check Interval.  For example, if you select 120 minutes, the User will receive a pop-up reminder every two hours.  Remember that the more frequently you ask EventPro to check for actions, the more you will tie up system resources and distract the User. Intervals between 2 and 4 hours are usually sufficient for Action notifications.  If the interval is set to 0 (zero), the user will not receive Action pop-up notifications at all.

3.After the set intervals, a Confirm dialog will pop up, asking if you want to view your EventPro Reminders.  If you click Yes, the Reminders window will open.

4.All of the Actions assigned to you will appear in the selection grid in the middle of the pop-up Reminders window.
a.Click on an action in the selection grid to view the details above.
b.Click the Open Item button to open the Action [Edit] window.  Make any necessary changes and click Save.
c.Click the Go To Event button to view the related event in the Event Maintenance screen.
d.Click the Complete button to mark the Action as “Complete” and remove it from the list of reminders.   The Action status will now be marked as “Complete”.  If you have more than one "Completed" status, the Set Completion Status dialog will appear.  Select the correct status and click OK.
e.Click the Delete button to delete an Action entirely from the database.
f.Select a Snooze time from the drop-down list and click the Snooze button to temporarily remove the Action from the reminder list for a set amount of time.
g.Click the Complete All button to mark all of the Actions as complete and remove them from the list of reminders.  Remember that these Actions will be marked as “Complete”.
h.Simply click Close to ignore the reminder.  If you left any Actions incomplete, or did not use the Snooze function, the Actions will appear again in the next scheduled reminder.
