A few weeks ago, account representative Troy Wruck attended the 30th Annual ACCED-I (Association of Collegiate Conference and Event Directors-International) Conference in Louisville, KY. This is the 5th year in a row for EventPro to have a booth at the ACCED-I conference and each attendance provides an invaluable learning experience. |

If a picture is worth a thousand words, EventPro’s built-in Image and Floor Plan Tool will save you a lot of talking! EventPro’s Floor Plans are clear, accurate, and easy to create, and allow you to present your customers with professional room setup plans. |
Using EventPro’s Image Tool, you can add pictures to both your Locations and individual Events. For example, for a location, you could scan in a blank floor plan and add photographs of the location set up for different functions – weddings, conferences, cocktail receptions, etc. You could use these images to show customers the various capabilities of each location. |
Then, if you book an event in a location, you can customize the location’s images for the specific event. Using the location’s blank floor plan, you can add objects such as tables, chairs, and other equipment to create a setup configuration suited to the customer’s needs. This floor plan layout can be distributed to personnel to ensure efficient and accurate event setup. |
You could also select the photograph of the location setup that the customer prefers, adding notes in the comments area regarding any unique touches the customer wants to add for configuration and decoration. If none of the location’s images show what you need, you can also add entirely new images specifically for the event. |

Did You Know… that the Linked Criteria Filter allows you to determine which attendees have or have not received certain communications? For example, say you have a list of attendees, only half of whom have received an event invitation. You know how to filter the list to find those attendees who have received the invite, but can you create a list of attendees who did not receive it? Yes, you can… with Linked Criteria. |
The key to using Linked Criteria is to create a system of Communication References and use them consistently. For example, in your General Lookup Tables, you could create a communication reference called “Invitation Sent”. Then, each time you send an invitation to an attendee, you must select “Invitation Sent” as the communication reference. Later, if you create a filter in the Filter Criteria window, with the intention of viewing attendees who did not receive an invitation, you would select the Communication Reference of “Invitation Sent” in the Communications tab and select Exclude from the Linked Criteria drop-down list in the Attendees tab. The resulting view will display attendees who do not have an “Invitation Sent” communication in their records, therefore creating a list of attendees to whom you must send invitations. If you want to see attendees who received the communication, you would Include the linked criteria. |
You may have hundreds of attendees and thousands of communications in each event. Use the Linked Criteria Communications Filter to ensure that important communications don’t get lost in the shuffle.
