EPWeb Calendar Page

Click the Calendar button to view the Calendar page of EPWeb.

Remember that the visibility of the Calendar button was determined in the EPWeb Configuration under General Settings: Calendar.

To select a different view, choose an option from the View drop-down list. Remember that the various calendar views available in the View drop-down list were defined in Calendar Views in EPWeb Configuration. The default View to which the calendar first opens was selected in General Settings: Calendar.

You can also switch to any Day View by right-clicking in the calendar and choosing one of the Day View options (which have previously been defined under Calendar Views in the EPWeb Configuration).

To filter by location group, choose an option from the Location Group drop-down. The default Location Group to which the calendar first opens was selected in the EPWeb Configuration under General Settings: Calendar.

To filter the calendar down to one location, choose an option from the Location drop-down. The visibility of this Location drop-down depends on the Show Location Filter setting in the General Settings: Calendar in the EPWeb Configuration.

Click the Today button to go to the current date.  The arrows on either side of the Today button will scroll forward or backward per defined unit of the View (e.g. Month, Week, etc.).

Click the drop-down arrow next to the Today button to open a monthly calendar, on which you can select a date to view.

If there are double arrows beneath the Today button, click them to scroll through the pages of Locations for the view. Remember that the number of locations per page for Calendar Views are defined in Calendar Views in EPWeb Configuration.

Click Status Legend to see what statuses the colors represent. Click the X in the upper right corner of the drop-down to close it again.

If the Help icon appears in the upper right corner, you can click it to view Help information.  The visibility of the Help icon and the Help content were defined in the EPWeb Configuration under General Settings: Calendar.

Click to expand/collapse textViewing and Editing Events in the Calendar

When you view the EPWeb Calendar, events will appear as color-coded areas within the cells.

However, whether you can actually see events in the EPWeb Calendar will depend on several settings in EventPro:

Your Online Rights. See Chapter 1: Setting Up EventPro, Step 6: Company/Contact, Entering a New Company: Online Rights. and Entering a New Contact: Online Rights.

The Event Status Code assigned to the event. The Event Status Code must be flagged as "Show on Web". See Chapter 1: Setting Up EventPro, Step 2: Status Codes, Event.

The Event Web Status. If the Event Web Status is set to "Hide", the event will not appear on the EPWeb calendar. You can set this status for an event when booking the event (Chapter 2: Creating a Booking, Creating a New Booking: Event Information) or editing an event (Chapter 3: Event Maintenance, Modify Event Information: Event Tab).  The default for newly booking events is set in your Event System Settings (Chapter 1: Setting Up EventPro, Step 1: System Settings, Events).

The online visibility of the Location. The Locations must be flagged as "Show on Web".  See Chapter 1: Setting Up EventPro, Step 8: Locations, Creating Location Groups and Locations: Locations.

 

If you are able to see the events on the EPWeb calendar, hover your mouse over the colored event cell to view a pop-up of event information. The amount of information that appears in the pop-up depends on the Event Web Status set for the event in EventPro (Chapter 3: Event Maintenance, Modify Event Information: Event Tab).

In the Event Information pop-up, there are two buttons: View and Edit. (Remember that your ability to view and edit events will depend on your Online Rights; review Chapter 1: Setting Up EventPro, Step 6: Company/Contact, Entering a New Company: Online Rights. and Entering a New Contact: Online Rights.)

Click the View button to see an Event Summary.  Scroll down to see all of the information.  You will not be able to change any of the information when only viewing the event.

If there is a Payment System set up, you will see the Pay Now button at the bottom.  Click the Pay Now button if you wish to make a payment for the event.  To review how you set up the online payment gateway, see Configuring EPWeb Version 4: Payment Settings.

If you want to print the Event Summary, click the Print button.  The summary will open in another window or tab in your browser, where you can then print it.

When you are done viewing the event information, click Close.

Click the Edit button to open the Booking Wizard for the event.  The event's information will be filled in the fields, but you will be able to make changes.

Use the Next button to move through the pages of the wizard.  This is the same wizard you use when creating a New Booking.  For more information about entering event information in this wizard, see Create a New Booking in EPWeb.

When you are done making changes, click Finish at any point in the wizard. You will return to the Calendar.

Click to expand/collapse textStart a New Booking or New Enquiry from the Calendar

1.To create a new booking or enquiry from the Calendar, click on a cell representing the location/date/time (as applicable, depending on the view) you want to book. If you are in a Day View, you can drag to select a range of hours.  (NOTE: You will be able adjust the location/date/time later in the booking or enquiry wizard.)

2.Right-click and select New Booking or New Enquiry. Remember that in order to be able to start a new booking or enquiry from the calendar, you must have the relevant checkboxes selected in the EPWeb Configuration.  See Configuring EPWeb Version 4, General Settings: New Booking and New Enquiry.

3.The New Booking Wizard or New Enquiry Wizard will begin, unless you are trying to create a booking or enquiry that is outside the minimum lead time or maximum advance booking time.  In the EPWeb Configuration, you would have defined a Minimum Hours Lead Time and a Maximum Advanced Booking Days under General Settings: New Booking.
