Accommodation Restrictions
There are 4 types of accommodation restrictions: Room, Group, Location, and Global.
•
Room: Creates a restriction for one room.
•
Group: Creates a restriction for a group of rooms.
•
Location: Creates a restriction for an entire location, which may encompass several groups of rooms, depending on how you set up your accommodations.
•
Global: Creates a restriction for all accommodations in that period of time, e.g. Christmas Day.
These four accommodation restriction statuses are pre-defined. You cannot create new restriction statuses or delete existing ones. You cannot edit the names of the restrictions, but you can still edit some other features.
1.
Select Setup | Status Codes from EventPro's main menu.
2.
In the drop-down list in the top left corner of the Status Codes screen, select Accommodation Restrictions.
3.
Click on the status you want to edit and click the Edit button in the upper right corner.
4.
In the Status [Edit] window, you will notice that you cannot change the name of the status code.
5.
If you want to change the color coding of the restriction, click the Text button to change the text color and Back button to change the background color. The Color window opens. If you want to create a custom color, click the Define Custom Colors button. When you have selected the color you want, click OK to return to the Status [Edit] window.
6.
Choose a Conflict Level from the drop-down menu:
a.
Full: If a restriction conflict level is set as “Full”, you will not be able to book a conflicting reservation. Once a restriction with a “Full” conflict level setting is in a time slot, nothing else can use that time slot.
b.
Warn: If a restriction conflict level is set as “Warn”, EventPro will warn you of any conflict, but will not prevent the reservation.
c.
Ignore: Restrictions of this conflict level do not conflict with any reservations and will not be considered when EventPro performs a conflict check.
7.
When you are done editing your status codes, click Save to save your changes.
You will later set up accommodation rooms, groups and locations in Chapter 10: See Chapter 10: Accommodations, Locations, Room Groups and Rooms.
