Event Maintenance Reports

In addition to the standard printing options noted in Run Reports from Reports Menu above, some of these reports have other parameters you can set.

You can run these reports from the Reports menu, or by clicking the Print button in upper right corner of the Event Maintenance screen.  If you run the reports from the Event Maintenance screen, they will only print the report for the event you are currently viewing.  If you run the report from the Reports menu, you can view reports for all of the events in the date range you choose.

Lists by date the locations used for each booking, displaying the Times, Function Name, Setup Type, People and Status for each.

1.Choose whether the Report Subtitle, which appears below the Report Title in the upper right corner, will be the Event Name, Client Name or None.
2.Enter the Resource Item Date Range.
3.Check the boxes if you want the Page Breaks to occur after Each Day and/or Each Location, as well as after each booking.
4.From Report Options, check the boxes to indicate that you want to Show Comments, Show Costs, Show Prices, Show Totals, Show SignOff (a Date and Signature line at the bottom of the report) or Show Cancelled Location.
5.Choose whether you want to Update Communications and if so, select a communication Method and Reference.  This will add a communication (of the method and reference you choose) to the communication log, noting that the report has been printed.

Lists the locations leased for each day of each event, displaying the related Function Name, Times, Attendance and Rent.

1.Choose whether the Report Subtitle, which appears below the Report Title in the upper right corner, will be the Event Name, Client Name or None.
2.From Report Options, check the box to Show Cancelled Locations.
3.Choose whether you want to Update Communications and if so, select a communication Method and Reference.  This will add a communication (of the method and reference you choose) to the communication log, noting that the report has been printed.

Displays basic information for each booking, including the Date, Location, Times, Function Name, Attendance and Status.

1.Choose whether the Report Subtitle, which appears below the Report Title in the upper right corner, will be the Event Name, Client Name or None.
2.Enter the Resource Item Date Range.
3.From Report Options, check the boxes if you want to Show Comments, Show SignOff or Show Cancelled Location.
4.Choose whether you want to Update Communications and if so, select a communication Method and Reference.  This will add a communication (of the method and reference you choose) to the communication log, noting that the report has been printed.

Lists setup and staffing items categorized by sub-groups for each location of each booking, displaying the Quantities and Prices of the items, and the Times, Function Name, Setup Type, Attendance and Status of the locations.

1.Choose whether the Report Subtitle, which appears below the Report Title in the upper right corner, will be the Event Name, Client Name or None.
2.Enter the Resource Item Date Range.
3.Check the boxes if you want Page Breaks to occur after Each Day and/or Each Location, as well as after each booking.
4.From Report Options, check the boxes if you want to Show Comments, Show Costs, Show Prices, Show Totals, Show SignOff or Show Cancelled Location.
5.The report will show all Setup and Staffing Sub-Groups unless you uncheck the boxes under Sub-Group.
6.Choose whether you want to Update Communications and if so, select a communication Method and Reference.  This will add a communication (of the method and reference you choose) to the communication log, noting that the report has been printed.

Lists Catering and Beverage information for each location of each booking, displaying the Catering/ Beverage Configuration Groups, Configurations, individual Items, Quantity, Price, Total and Taxes, as well as the Location, Times, Function Name, Setup Type, Attendance and Status for each location.

1.Choose whether the Report Subtitle, which appears below the Report Title in the upper right corner, will be the Event Name, Client Name or None.
2.Enter the Resource Item Date Range.
3.Check the boxes if you want Page Breaks to occur after Each Day, Each Location or Each Catering/Beverage Item (each catering configuration), as well as after each booking.
4.From Report Options, check the boxes if you want to Show Comments, Show Costs, Show Prices, Show Totals, Show SignOff, Show Cancelled Location, Show Catering or Show Beverages.
5.Choose whether you want to Update Communications and if so, select a communication Method and Reference.  This will add a communication (of the method and reference you choose) to the communication log, noting that the report has been printed.
hmtoggle_arrow1Confirmation Sheet

Shows all details for each location of each booking, including Times, Function Name, Setup Type, Attendance and Status, as well as each location’s Setup, Staffing, Catering, Beverage and Package items with their Prices and Quantities, listed by Resource Type and Sub-Group.

1.Choose whether the Report Subtitle, which appears below the Report Title in the upper right corner, will be the Event Name, Client Name or None.
2.Enter the Resource Item Date Range.
3.Check the boxes if you want Page Breaks to occur after Each Day or Each Location, as well as after each booking.
4.From the drop-down list under Contract Options, choose the time the contract is Required In: None, 1 Day, 2 Days, 1 Month and so on.  This will set the Contract Required By field to the print date plus the increment specified.
5.From Report Options, check the boxes if you want to Show Comments, Show Prices, Hide Zero Price Items, Show Totals, Show SignOff, Show Cancelled Location, Show Package Detail, Show Accommodations, Only Show Accommodations Billed to Event or Hide Zero Summary Discount.
6.The report will display all items for all sub groups, unless you uncheck the checkboxes next to the sub groups you do not want to view under Sub Group.
7.Choose whether you want to Update Communications and if so, select a communication Method and Reference.  This will add a communication (of the method and reference you choose) to the communication log, noting that the report has been printed.
hmtoggle_arrow1Confirmation Sheet – Chronological

Similar to the Confirmation Sheet above, except that the resource items are listed chronologically in the order of the Time Required To (the time at which they are no longer needed).

1.Choose whether the Report Subtitle, which appears below the Report Title in the upper right corner, will be the Event Name, Client Name or None.
2.Enter the Resource Item Date Range.
3.Check the boxes if you want Page Breaks to occur after Each Day, as well as after each booking.
4.From Report Options, check the boxes if you want to Show Comments, Show Prices, Show Totals, Show SignOff or Show Cancelled Location.
5.Choose whether you want to Update Communications and if so, select a communication Method and Reference.  This will add a communication (of the method and reference you choose) to the communication log, noting that the report has been printed.
hmtoggle_arrow1Banquet Event Order (BEO)

For each location of each booking, displays the Catering/ Beverage Configuration Groups, Configurations, Items and Quantities, with the catering items in the right column and beverage items in the left.  At the bottom of the sheet is the Catering Contact and space for the Client’s Approval.

1.Enter the Resource Item Date Range.
2.From Report Options, check the boxes if you want to Show Comments, Show Item Prices, Show Net Price or Show Cancelled Locations.
3.The BEO will display all Setup and Staffing items unless you uncheck the applicable boxes under Sub-Group.
4.Choose whether you want to Update Communications and if so, select a communication Method and Reference.  This will add a communication (of the method and reference you choose) to the communication log, noting that the report has been printed.
hmtoggle_arrow1Banquet Event Order By Day

Essentially the same as the Banquet Event Order, except that it is set up differently.  All locations and functions for one day of a booking are listed at the top of the page, and beneath this list are the individual resource items for each location under Resource Type headings.  Also, rather than having the catering all in the right column and other detail items in the left, the list of items continues over two columns.

1.Enter the Resource Item Date Range.
2.Under Sorting, check the boxes if you want to Sort Catering by Start Time, Sort Beverages by Start Time or Sort Setup by Start Time.
3.Make your selections under Report Options and Sub-Group, which have the same options as the regular BEO above.
4.Choose whether you want to Update Communications and if so, select a communication Method and Reference.  This will add a communication (of the method and reference you choose) to the communication log, noting that the report has been printed.

Shows a statement for each event, displaying total event charges and any payments, including invoice and receipt numbers, if applicable.

1.Choose whether the Report Subtitle, which appears below the Report Title in the upper right corner, will be the Event Name, Client Name or None.
2.Choose whether you want to Update Communications and if so, select a communication Method and Reference.  This will add a communication (of the method and reference you choose) to the communication log, noting that the report has been printed.

Displays the Floor Plan for an event.

1.Choose whether the Report Subtitle, which appears below the Report Title in the upper right corner, will be the Event Name, Client Name or None.
2.Under Select Image/Floorplan, click on the Item Code you want to view.
3.From Report Options, check the boxes if you want to Show Image/Floorplan Notes or Show Grid on Image/Floorplan.
4.Enter the Grid Size (feet).
