Advanced Headers and Footers
As noted above, you can add simple Headers and Footers that look the same on every page by clicking View | Document Header and View | Document Footer.
However, if you want to have more control over document headers and footers so that you can have different headers and footers on each page, you must use the Bands buttons located beneath the Groups buttons in the merge dialog.

In the Word Processor, select View | Mail Merge Dialog from the main menu.

In the Merge Fields/Bands dialog, click the Advanced>> button to see the Bands options to the right (Type, Name, Insert New Band, Visibleetc.).

Determine how many different headers/footers you would like to have. You can create as many different headers and footers as you like, but you will only be able to use as many as you have pages in your document. Remember that if you added merge fields that have multiple records, the actual letter could be much longer than your template.

The page is probably set to leave room for the standard header and footer. Select Format | Page Layout to adjust the space for your custom headers and footers, if necessary.

The Header, Footer and Data/Text bands determine the location of the text below them, so that even if your template is typed out of order, the Bands will correctly locate the text in the final copy.

Review the template and print preview example on the next pages. The steps for creating the advanced headers and footers are described after.

As you see from the example, everything below the Header band will appear in the header, everything below the Data band is defined as body text and everything below the Footer band appears in the footer.

To insert the bands, click on the Document: Body tab and place your cursor in front of the relevant text. Under Bands in the merge dialog, select Header, Footer or Data/Text (as appropriate)from the Type drop-down list and click the Insert New Band button. Everything below that band will appear in the designated section, until interrupted by the next band.

For example, to mark a header, place the cursor in front of the header, select Header from the Bands Type drop-down list and click Insert New Band. The Header band will appear above the header text.

To add another different header, repeat these steps to place a header band above the second header.

The three small numbers in boxes in the band indicate which pages the text will appear on. Typically, you would choose to have the text visible on all pages. However, you can use bands to change the header/footer from page to page. In the example above, you see that there are two headers. From the numbers, you see that the first header will appear only on the first page. The second header will appear on all pages except the first (if there were multiple pages in the document).

To choose the pages on which the text will appear, click to highlight the band in the text. Go to the Merge Fields/Bands dialog and select an option from the Visible drop-down list: Always Visible, On Odd Pages, On First Page, etc. The numbers in the band will change to reflect your selection.

Remember that the final document will not contain the colorful bands. The bands merely determine the final appearance of the document. If you preview your document by clicking on the Merged Text tab or selecting File | Print Preview, you will see that the bands you inserted arrange your headers, text and footers in the correct order. Check to ensure that there is sufficient space for the headers/footers, and return to the Document: Body tab to adjust spacing and margins if necessary.

Remember, you can remove or restore the preview panel in the Merged Text tab by selecting View | Preview Panel.
