There are two different views in the Event Maintenance screen and the Actions screen: List View and Calendar View. You can set Action Calendar Preferences for the calendar.
| 1. | Click on the List View tab. |
| 2. | At the top of the List View tab, there is a Search field and a variety of options for creating a Filter. Below, there is a selection grid containing Actions related to the event (Event Maintenance screen) or all Actions in EventPro (Actions screen). The function buttons (New, Edit, etc.) are located along the right side of the selection grid. |

| 3. | To search for a particular Action, click on the selection grid heading under which you want to search (e.g. Subject, Assigned To: User, Attached To: Contact, etc.). Begin typing your keyword in the Search field. The arrow in the far left column will move to highlight the first record that matches your search term. |
| 4. | Use the Filter options to limit the list of visible actions for the purposes of viewing or printing. |
| a. | Select a User from the Assigned To drop-down list to view only Actions assigned to that user. |
| b. | Use the Quick Set drop-down list to view Actions from a certain period of time, such as “Tomorrow” or “Next Week”. |
| c. | Under Status, check the boxes to view only Actions of those selected Statuses. |
| d. | Under Category, check the boxes to view only Actions of those selected Categories. |
| e. | Choose applicable Start and End dates from the drop-down calendars under Dates. |
| f. | To clear the filter and return to viewing all of the Actions, click the Show All Actions button. |
| 5. | If you set the Assigned User, Status and Category filters in the List View of the Actions screen, those selections will also be applied to the List View Actions tab of the Event Maintenance screen, and vice versa. Those screens will also remember those filter selections even if you move around in other areas of EventPro. However, the Actions Calendar will only apply and remember the Assigned User filter that you selected, while the other filters will default to "All". |
|
| 1. | Click on the Calendar View tab. |
| 2. | In the calendar, the Actions will appear in the cells corresponding with the applicable Users and Dates. When viewing actions for all users, you can click on a User’s name to the left to magnify the view of that User’s Actions. Click on the User’s name a second time to return to the view of all Users. |

| a. | NOTE: A User will only appear in the Action Calendar if the Show on Action Calendar checkbox was selected for that user in the User [Edit] window. Check a user’s settings under Setup | Users. See Chapter 1: Setting Up EventPro, Step 3: Users, Adding Users. |

| 3. | The cells containing Actions will be filled in with the color of the Action Status, which you selected when creating action statuses under Setup | Status Codes. If a portion of the action is completed, the red status bar at the top of the cell will indicate how much is completed. |
| 4. | Below the Calendar, there is a Selection Grid displaying the Actions contained in the cell highlighted above. |

| 5. | Click the Today button to highlight today’s date in the view. Depending on whether you are in Day, Week, Month or Year view, you can use the drop-down list or horizontal arrows located to the upper left to view different dates. |
| 6. | Under the Filter button, check the Status and Category options to view only Actions of those selected statuses and categories. Note that if you set a filter in the Calendar View, it will not apply to the List View, and vice versa. |
| 7. | Choose Select All to clear the filter and return to viewing all Actions. |
| 8. | Select a User from the Assigned To drop-down list to view only Actions assigned to that user. If you move to the List View, your Assigned To User selection will be remembered. |
| 9. | To switch between Day, Week, Month and Year views, use the View drop-down list to the far right. If you have highlighted a day in the Week, Month or Year view and switch to the Day view, EventPro will display your highlighted date. If you switch from Day view to Week view, EventPro will display the week containing the day you were viewing, but will not necessarily highlight that day in the week. |
|
| 1. | You can change the appearance of the calendar by clicking on the Preferences button. |

| 2. | Check the Show Action Information Pop-ups box if you want to see a pop-up summary when you float your mouse over an Action. |
| 3. | Choose a Default Grid View (Month, Year, Week or Day) and check the box if you want to Always go to today when first entering the Calendar View. |
| 4. | For the Month, Week and Day view, choose whether you want to Best Fit Rows and Columns, or manually set row height and column width. For the Day view, choose the Hour Division and Active Day Time From and To. |
