Reservations Overview

You can make reservations from two different areas in EventPro – the Accommodations screen or the Accommodations tab of the Event Maintenance screen.

In the Accommodations screen, you can view all reservations, regardless of what event they are related to, if any.  Click on the Accommodations button along the top of the EventPro screen. The screen will open to the tab you selected in Chapter 1: Setting Up EventPro, Step 1: System Settings, General.
In the Accommodations tab of the Event Maintenance screen, you will only see the reservations related to that event.  Click on the Events button along the top of the EventPro screen to open the Event Maintenance screen.  Click on the Accommodations tab below.  Note that the Accommodations tab will be red if there is an accommodation reservation linked to the event.  If you cannot see the Accommodations tab, ensure that the Show Accommodations checkbox is selected in the Tab Visibility section of your General System Settings.

There are three different views in the Accommodations screen: Single Reservation, Reservation List and Calendar. The Accommodations tab of the Event Maintenance screen only has two views: Single Reservation and Reservation List. The Single Reservation and Reservation List views are described below.  The Calendar view is described in the next section, under Accommodations Calendar.

The information about a reservation appears in the fields in the top section of the screen, including the Reservation Number, Check In/Out Dates, Nights, Rooms, Company Name, etc.  The Check In date will be the first check in date of any of the rooms in the reservation and the Check Out date will be the last check out date of any of the rooms.  Use the black horizontal arrows next to the booking number to scroll though other reservations.

The bottom tabs contain further information related to the reservation:

1.The Room Assignments tab contains a list of all rooms in the reservation; the Full Name column on the right of the tab shows the occupants for the highlighted room.
2.The Finance tab contains the Invoices and Payments related to the reservation.
3.The Communications tab stores communications related to the reservation.

The top selection grid contains a list of all reservations.  Click on a heading to re-sort the list.  Use the vertical scroll bar to see all reservations in the list, and use the horizontal scroll bar to see all of the information contained in a row.

When you click on a reservation in the top selection grid, further information about that reservation appears in the bottom Room Assignments, Finance, and Communications tabs.
