Check In and Check Out

In the Accommodations screen or the Accommodations tab of the Event Maintenance screen, find the reservation in the Single Reservation view or click to highlight the reservation in the Reservation List view. Click the Room Assignments tab.

1.To check-in one room, click to highlight the relevant room.
2.Click the Check In/Out button and select Check In.
3.The Accommodation Room [Edit] window appears. The top text will say “Checked In” and the status color will be set to the color you chose in your System Settings. See Chapter 1: Setting Up EventPro, Step 1: System Settings, Accommodations.

4.Click Save to confirm the check in.  Click Cancel if you change your mind and do not want to check in the room.

1.For a multiple room check-in, hold down the Ctrl key and click the desired rooms.  If you want to check in all rooms for a reservation, you do not have to select any rooms (there is an all-room option later).
2.Click the Check In/Out button and select Multi-Check In.
3.In the Multi-Check In dialog box, choose whether you want to check in the Selected Room or All Rooms and click OK.
4.In the selection grid, you will see the rooms are checked in by the color highlighting under the Room column.  You set these colors in your System Settings; see Chapter 1: Setting Up EventPro, Step 1: System Settings, Accommodations. If you double click the room, you will see the “Checked In” text.

1.To cancel a check-in, follow the same process as checking in, except select Cancel Check In or Multi-Cancel Check In.
2.The status will return to “Awaiting Arrival”.

1.To check-out, follow the same process as checking in, except select Check Out or Multi-Check Out.  The status text will now say “Checked Out” and the status color will be set to the color you chose in your System Settings. See Chapter 1: Setting Up EventPro, Step 1: System Settings, Accommodations.

2.If you check out a single room and the room is set to be billed to an occupant, the Confirm dialog box will ask if you want to generate an invoice.
3.Click Yes if you want to create an invoice now or No if you want to invoice later.  See Invoicing Accommodations below for more information.

1.To cancel a check-out, follow the same process as cancelling a check in, except select Cancel Check Out or Multi-Cancel Check Out.
2.The status will return to “Checked In”.
